1. Property Ownership & Responsibility

All hire items remain the property of Harper Rose Events at all times. The Hirer accepts full responsibility for all items from the time of collection or delivery until the items are returned and accepted back by Harper Rose Events.

The Hirer will be liable for any loss, theft, or damage (fair wear and tear excepted) during the hire period. Items must not be moved dismantled, or returned early without prior agreement.

2. Payment

A non-refundable deposit of 30% is required to secure your booking date. The remaining balance must be paid in full no later than 3 weeks before the event date. Once paid, all instalments are non-refundable.

For bookings made within 2 months of the event date, full payment is required at the time of booking.

Payments are made via bank transfer (details provided on invoice). No collection, delivery, or installation will take place until all balances and damage deposits are paid in full.

From January 2026, minimum order values apply:

  • £150 for self-collection and return

  • £250 for full installation and collection orders

3. Cancellation by the Hirer

If the Hirer cancels the booking for any reason, the following charges apply:

  • More than 6 weeks before the event: deposit retained

  • 3–6 weeks before the event: 50% of total order payable

  • Less than 3 weeks before the event: 100% of total order payable

4. Cancellation by Harper Rose Events (Force Majeure)

Harper Rose Events reserves the right to cancel a booking due to circumstances beyond our control, including but not limited to illness, extreme weather, venue closure, vehicle breakdown, or supplier failure. In such cases, all payments made will be refunded and no further liability shall be accepted.

5. Standard Hire Period

Unless otherwise agreed, the standard hire period is up to 5 days. Collection, delivery, and set-up dates must be agreed prior to final payment.

Extended hire must be arranged at the time of booking and will be charged at an additional daily rate. Failure to return items within the agreed timeframe will incur a charge of 20% of the total order value per additional day.

6. Collection & Delivery

Free collection is available from our storage facility in Binfield, Berkshire (details provided on invoice).

Delivery and set-up services are available for orders over £100 and are charged separately. While every effort will be made to meet agreed delivery and collection times, Harper Rose Events cannot be held liable for delays outside our control.

The Hirer is responsible for ensuring suitable access, parking, and agreed set-up time is available. Delays caused by venue restrictions may result in reduced installation time with no refund.

7. Outdoor & Weather Use

Outdoor hire items are used entirely at the Hirer’s risk. No refunds will be given due to adverse weather conditions. The Hirer must provide suitable shelter and safe placement for all items.

8. Hire Item Condition & Damage

All goods remain the Hirer’s responsibility for the duration of the hire.

By signing the collection/delivery note, the Hirer confirms items are in good condition and as described. No complaints regarding condition or quality will be accepted after this point.

Venues, event planners, florists, or other third parties are not responsible for hired items; liability remains with the Hirer at all times.

A refundable damage deposit (amount stated on invoice) is required with the final balance. This will be returned within 5 working days of items being checked and accepted back.

Some damage may only become apparent after inspection. Harper Rose Events reserves the right to charge for such damage once identified.

9. Marketing Use of Images

Harper Rose Events reserves the right to use photographs of hire items and installations for marketing and promotional purposes unless the Hirer requests otherwise in writing prior to the event.

10. Privacy Policy

Harper Rose Events complies with the Data Protection Act 1988 and uses your personal information solely to provide services or respond to enquiries. We do not sell, rent, or trade your information to third parties.

11. Liability

Harper Rose Events’ liability shall not exceed the total invoice value. We accept no responsibility for injury, loss, or damage resulting from the use of hired items.

The Hirer is responsible for ensuring all items are suitable, safely placed, and approved by the venue (heavy items etc).

12. Governing Law

These Terms & Conditions are governed by the laws of England and Wales and subject to the exclusive jurisdiction of the English courts.

Complaints must be raised within 48 hours of the event and sent to lydia@harperroseevents.co.uk. Your statutory rights are not affected.
